Approving a document starts the document distribution process to all the mobile devices.  By default, the iPads are configured to synchronise their data every hour, therefore the document will be available for viewing at worst, in one hour.


If you need to sync data immediately and don't have the rights to manually start a data sync, logout and back in, as this will initiate the synchronisation process.  

Note however, that you will need a wireless or cellular connection to enable you to log back into TMaSS


To approve a document is simple, however not all users have the privileges to approve documents, so if you don’t see the menu item you don’t have the appropriate rights.


The first step to document approval is to initiate the ‘Approve Document’ dialogue. To kick off the process all you need to do is find the document you wish to approve, select the edit context menu and press approve.



The role of the document approval is an important one.  This user confirms that the document has been assigned the correct metadata such as document types and company / sites assignments. Then they would physically review the document by pressing the reviewbutton.  Depending on if you are using a web browser or the iPad, the document will either download (web) or be displayed directly on the screen (iPad).  After the review is happy with the document they can grant approval by pressing the circlebutton:

Un-approve a document

Once a document has been approved, it can be unapproved easily.  Once unapproved, the document will be removed from the remote devices automatically.  However, if the unapproved document has a previously ‘approved’ version, this version will be reinstated and distributed in its place.




If you no longer want any version of the document to be available, the best solution is to archive it.  
Archiving a document removes all versions of the document from remote devices.
