TMaSS allows the user to save a report and assign a schedule to that saved report. By default, when you run a report from the Reports module the ‘Reports Details’ dialogue will be displayed, allowing you to customise the report to your desired specifications. The ‘Report Details’ dialogue is broken up into 5 parts:


  1. Report Name:  This is editable and is used to name a report so it can be saved for later use
  2. Date Range: The user can specify custom date ranges, months or years.
  3. Report Type: Shows the report name and asset types
  4. Asset or object pickers: 
  5. Share, run, save and cancel: 


Static and Dynamic report data

It is important to understand how the schedule function works in relation to the objects selected and the data delivered in the report.  Essentially, there are two types of report data: static or dynamic.  TMaSS uses two mechanisms to categorise assets for reporting purposes.  Asset Groups and Dynamic Access Groups (DAGs).  Asset groups are created manually by the user, while DAG's are created and managed by the system automatically based on specifications and dispositions.


A static report is denoted by selecting specific objects within the 'Reports Details' dialogue.

A dynamic report is denoted by selecting "Select All' from either the object group or object list within the 'Reports Details' dialogue.


An example of a Static report could be that the user would like to know the TCO of particular tyres.  They could achieve this by selecting the "Tyre TCO by Disposition" report and only select the specific tyres from the object list or by selecting an asset group they have created previously. 


An example of a Dynamic report could be that the user would like to know what tyres of a particular specification are in production.  They could achieve this by selecting the "Tyres In Service" report and only selecting the "In Production" DAG from the object group list.

Following is an example of a report that that has been filled out and ready to save.  You will notice that that this report is for the Month of July and includes "In Production" tyres only. Once saved the 'Tyres in Service monthly' report object will be created.

There are two states for a saved report, Scheduled and not scheduled. Once scheduled, the scheduled date it will be generated and delivered will be displayed



Scheduling a report

Scheduling reports is an important aspect of management. Having reports automatically delivered to your email inbox increases productivity and eases the burden of having to continually run the reports manually. TMaSS allow the user to schedule any saved report by running the ‘Add Schedule’ function from the saved report 'Add'context menu as shown below. 



When scheduling a report, the user can specify the following:

  • Delivery time of the report  
  • Start and End Dates:  first delivery date & last delivery date.
  • Frequency of the reports
    • Time Period: Weeks or Month:  This is the report period for which the data will be collected.  For example:  If you want a inventory report to cover a month, you would set the 'Month' field to 1
    • Frequency: Weeks or Month:  This tells the system how frequently you want the report sent. For example:  If you want the monthly inventory report sent to you on a weekly basis, you would set the 'Weeks' field to 1
  • Deliver to: Users who will be receiving the report (internal or external)  
  • Enable or Disable the report


 

The delivery time is based on the UTC Timezone.  Therefore, if the UTC timezone is not set at  site level, your reports will not be delivered on the time you select.




It is important to understand that the time period set in the 'Schedule Report' dialogue differs from that in the 'Report Details' dialogue.  The date range in the 'Report Details' dialogue, is not used.  It is in the 'Schedule Report' dialogue you tell the system the range or time period you wish to report on. 

For Example:
If you set the date of "April" in the  'Report Details' dialogue, and then set the 'Start Date' to be on "June 1" with a 'Time Period' of 1 month, the report delivered to you on June 1 will show data from the month preceding the delivery date. In this case, the report will show the 'May' data.
